Optical Tooling Supplier Qualification Checklist
How do you qualify a supplier for optical tooling?
Confirm the manufacturing entity and delivery scope, review the proposed process against your drawing, agree a representative sample and its inspection criteria, then document approval and delivery requirements. Equipment photographs and a headline precision figure are useful starting points, but the acceptance decision should relate to the part you will buy.
Use the checklist below for optical mold inserts, mold bases, lens components and outsourced precision machining. It is a preparation guide for supplier discussions. Audits, samples, certificates, inspection records and commercial terms must be confirmed for the individual project.
1. Confirm the company and manufacturing scope
- Match the company named on the quotation with the contracting entity and stated production location.
- Clarify whether you are ordering a finished lens, a mold insert, a mold base, a complete tool or a machining operation.
- Ask which operations are performed at the stated site and which may use external processing.
- If your qualification process requires an audit, request its scope, format and availability before relying on it in the schedule.
- Request current certificates where required, checking the named entity, site, scope and validity rather than relying only on a logo.
2. Review technical feasibility
Send the controlled drawing and material grade. Identify critical dimensions, optical form, surface roughness, coating and assembly interfaces separately. Ask the supplier to mark any requirement that needs clarification or cannot yet be confirmed. Compare the proposed process with the actual part geometry and inspection access.
For Metrixnano projects, use the machining service overview, equipment gallery and inspection requirements as discussion starting points. The quotation should confirm the agreed scope for your drawing.
3. Agree a representative sample and report
Choose sample features that represent the risks of the intended production part. Record the drawing revision, material condition, quantity, acceptance limits and required report format before manufacturing. For optical measurements, specify the evaluated area, parameter, units and agreed method. Do not assume a sample report for a different geometry proves your part will meet its requirements.
Define who reviews the sample and whether written approval is required before the remaining batch. Discuss how a drawing change after approval affects price, timing and the inspection plan.
4. Define delivery and incoming inspection
- Confirm the delivery destination, requested date and when the quoted lead time starts.
- Agree the shipping arrangement, packaging, identification and documents needed for receipt.
- State who arranges transport and which costs or import responsibilities are included in the quotation.
- Define the receiving inspection, its timing and the records needed to assess conformity.
- For delicate optical surfaces, agree protection and handling instructions before shipment.
5. Agree how deviations will be handled
Before ordering, document the contact route for a nonconformity and the evidence needed to investigate it, such as part identification, drawing revision, photographs and measurement conditions. Discuss the review process and any proposed correction, replacement or return arrangement in the order terms.
Questions to include in your supplier review
- What exactly is included and excluded from this quotation?
- Which drawing requirements need further agreement?
- Which sample and measurement records will support approval?
- What must be approved before batch production?
- What documents, packaging and delivery responsibilities are included?
- How should a discrepancy be reported and reviewed?
